ASSOCIATION OF BUCKINGHAMSHIRE GOLF CAPTAINS MINUTES OF THE 36th ANNUAL GENERAL MEETING HELD AT BUCKINGHAMSHIRE GOLF CLUB, MONDAY 19 OCTOBER 2015

PRESENT: Doug Ebdon (Captain) Brian Rodgers (V Captain) Peter Short (Secretary) John Pettitt D Williams (Treasurer), Rob Southerden and 42 members.

The Captain, Doug Ebdon welcomed members to the AGM.

1. APOLOGIES FOR ABSENCE

2. MINUTES OF THE 35th ANNUAL GENERAL MEETING HELD AT BEACONSFIELD GC ON 22 OCTOBER 2014.

The Captain reported that these had been circulated to all members in Newsletter No 48 and further copies were available if required. Therefore these minutes would not be read out unless requested.

As there were no requests, the Captain asked for approval of these minutes as a true record.  Proposed by Brian Rodgers and Seconded by M Morris and approved unanimously.

3. MATTERS ARISING

4. CAPTAINS REPORT

When I drew up my report for insertion in the Autumn Newsletter, (Issue 48), we were going strong in our matches against other counties. At that stage we had won 5 and lost 4 of the head to head fixtures, had a good meeting with the ladies, but fallen short in the two four counties fixtures. Sadly we lost our last two matches, against Kent and Sussex, so close the year at 5 wins and 6 loses. Nevertheless not a total disaster and my thanks to all who played in our matches and meetings. A healthy attendance, particularly at our three meetings, makes the Captain’s heart sing!

As John remarked upon, when delivering his report last year, we are a small group when compared with other Counties, so our results do us some credit.

On the subject of numbers the Pairs Competition was held on 1st October at Harleyford. As you are aware this was an out and out recruitment event. It was a very pleasant meeting with 36 participants, and we expect to get at least 8 new members from it.

With one very notable exception we have been lucky with the weather this year. My heartfelt thanks to all who played any golf at all on Captain’s Day, and particularly to the 10 members who completed the course.

While on the subject of thanks I must thank all the Committee for their support during the year. Everybody plays their part but as you all recognise particular thanks are due to Peter and Derek for their tireless efforts on our behalf.

A special mention for Brian, who stepped in part way through the year, and has been a great support as Vice Captain and who, I suspect had to greatly reorganise the family social diary to do all he has done. Thank you Brian and good luck next year.

John Hardcastle, who has stepped down from the Committee due to ill health, was hoping to join us here this evening. Sadly he is not well enough and I know that you would want me to give our very best wishes and support for John in his battle against cancer.

Finally John Pettitt leaves the Committee at this meeting. He has been a stalwart for 6 years and we will miss his enthusiasm and wise counsel. Thanks John, from us all. Being your VC was great fun.

5. FINANCIAL REPORT

Hopefully, you will have read the Annual Accounts and my Report that was included in the AGM papers.

In summary, the Association had a shortfall of £3,890 in the year ended 31st August 2015. However, on a two-yearly basis, taking the years ended August 2014 and 2015 together, when the annual imbalance of home matches against away matches will cancel out each other, a surplus of £1,622 was achieved..

Annual subscriptions for 2015 were again less than in the previous year by £240, reflecting a falling membership with associated difficulties in finding enough players to fill the match lists. Nevertheless, the sum raised from annual subscriptions, (£2,416), was more than sufficient to fund the cost of the administration and the loss on the Annual Dinner. Administration costs were held at a record low of £128, some £650 less than in the previous year.

On the playing side, a small surplus was achieved from the three internal competitions and the net deficit on match fees against the costs of hosting home matches was slightly more than last year’s surplus.

In view of the positive results, I decided to write-off the outstanding cost of the stock of 68 Association’s ties. Generally, the only time a tie is “sold” is to a new member. The Accounts reveal a bank balance at 31st August of £13,788. In addition, the Association has paid £1,450 in deposits for future fixtures and the book value of the clothing stock and golf balls is £3,575. So, all in all, the financial situation is very satisfactory and I commend these Accounts to you.

If anyone has any questions on these Accounts before their adoption is put to the vote, I shall try to answer them.

There were no questions and approval of the accounts was proposed by Phil Price and seconded by Mike Morris and carried unanimously.

6. ELECTION OF OFFICERS & COMMITTEE 2016

CAPTAIN

The Captain introduced the Captain elect Brian Rodgers from Hazelmere GC. Proposed by Doug Ebdon and seconded by Peter Short.

Approval for the appointment was sought from the membership present and carried unanimously.  The chain of office was duly handed over to Brian.

The new Captain thanked Doug for his leadership and hard work during the past year and said it was a pleasure supporting him. Doug had led from the front and even won the Ladies Competition. Brian was looking forward to the year ahead and the support that our members give the Captain.

He then presented the Past Captains Badge to the outgoing Captain and on behalf of all the members Doug was thanked sincerely.

VICE CAPTAIN

The nomination is Rob Southerden proposed by Brian Rodgers and seconded Doug Ebdon.

The Captain asked for approval. Carried unanimously.

HON SECRETARY

The nomination is – Peter Short, proposed by Derek Williams and seconded by Doug Ebdon.

The Captain asked for approval. Carried unanimously.

HON MATCH-SECRETARY

HON TREASURER

The nomination is - Derek Williams proposed by Doug Ebdon and seconded by John Pettitt.

The Captain asked for approval. Carried unanimously.

COMMITTEE: 2 NOMINATIONS

The Captain explained that due to ill health John Hardcastle was unable to continue on the Committee and that a replacement would be seconded shortly. (Note David Liston accepted the role a day after the AGM)

The Nomination is – Gerry Cotter. Proposed by John Pettitt, seconded by Peter Short.

The Captain asked for approval. Carried unanimously.

The Retiring Captain Doug Ebdon remains on the Committee for a further year.

7. ANY OTHER BUSINESS

1. Brian Rodgers announced that his tour would be at The Forest of Dean on 19 to 22 June plus Forest Hills and Rolls of Monmouth staying at the Bells Hotel. His Captains Day is on 20 July at Hazlemere again combined with the annual dinner.. He looked forward to seeing all members at the Spring Meeting on 22 April at Bicester.

2. Peter Short said that the match manager system had worked well in 2015 and volunteers are requested for 2016.He wished to extend the system to the 4 Counties, Ladies and internal competitions. It was also proposed to reinstate the Match Secretary position with the control of all the match managers being the key activity.

There being no other business the Captain closed the meeting and advised members that the 37th ANNUAL GENERAL MEETING will be held at Beaconsfield Golf Club on Wednesday 19 October 2016.
