MINUTES OF THE 37th ANNUAL GENERAL MEETING HELD AT BEACONSFIELD GOLF CLUB, WEDNESDAY 19 OCTOBER 2016

PRESENT: Brian Rodgers (Captain) Doug Ebdon (Past Captain) Peter Short (Secretary) Rob Southerden, Gerry Cotter and 50 members.

The Captain, Brian Rodgers welcomed members to the AGM.

2. MINUTES OF THE 36th ANNUAL GENERAL MEETING HELD AT THE BUCKINGHAMSHIRE GC ON 19 OCTOBER 2015

The Captain reported that these had been circulated to all members in Newsletter No. 50 and further copies were available if required. Therefore these minutes would not be read out unless requested.

As there were no requests, the Captain asked for approval of these minutes as a true record. Proposed by Roger Harman and Seconded by Gerry Cotter and approved unanimously.

3 MATTERS ARISING

4 CAPTAINS REPORT

It is tradition to start my report with a review of the matches we have played during the year. It was my ambition to at least emulate the results of our past captain Doug if not surpass them, however the fates were against me and we only managed to win 4 of our 11 fixtures against other Counties. However two of those wins were for a trophy so I will be pleased to pass on to next year’s captain the Ball & McDonald trophy won from Cambridgeshire and the Brian Roake trophy won from Kent. We didn’t fare any better in the 4 Counties fixtures were we came joint third at Chiltern Forest in the South and fourth at 4 Counties N, though the team for the north fixture had a wonderful 3 days in Kings Lynn playing a great course in lovely weather. Our match with the Ladies was excellent and I did manage to match Doug’s success. Next year the fixture is moved to Oakland Park.

As Peter has said in his report we have been able to recruit a number of new members this year, mainly due to the efforts of the Club Ambassadors and existing members encouraging their fellow past captains to be part of the Association and I hope you all as active members will continue to encourage your fellow captains to join. Although we are one of the smaller counties the participation by members is something I have tried to encourage, having 92 members play in the various matches and events out of a total of 117 is exceptional and it is great to see such a good turn out today to see me off!

Two of the more notable events of the Captain’s year are the tour and Captain’s day. The tour depends for its success on those participating and I would thank everyone who joined me for the friendliness, good humour and ability to turn up on time which made my job of organising so much easier. The weather on Captain’s day was a total contrast to last year and although the number participating was quite low I am sure it was an enjoyable day for those that did take part. Certainly our guests appreciated the course and hospitality of Hazlemere judging by the letters and emails I received.

My role as Captain is made a lot easier by the hard work and support given by members of the Committee. I would normally say thank you and goodbye to Doug as Past Captain but as you see from the agenda he has offered to stay on the Committee as Treasurer taking over from Derek so a big thank you is in order. Derek has been treasurer for 17 years and has done a tremendous job in ensuring financial stability for the Association, Unfortunately Derek can’t be with us but I’m sure you will want to pass on your thanks. The other key player is Peter who continues to amaze me by the amount of time and effort that he puts into ensuring all our events work, in spite of him seemingly being on holiday for half of the year. Peter has advised the need to reinstate the role of Match Secretary, job description on your tables. Finally I would thank Rob who has been a constant support throughout the year, played in all the matches and I’m sure will be a great ambassador for the Association and Rob, I wish you well for 2017.

Gentlemen it has been an honour and a pleasure to represent you this year and I thank you again for your friendship and support.

5 FINANCIAL REPORT

The accounts had been circulated in the newsletter together with the following report.

Of the matches played within the year ended 31 August 2016, nine were away and four were at home, with the Ladies match being a shared cost. Consequently, over this period, a surplus of £4897 was achieved. The previous year, when the pattern of matches was reversed, a deficit of £3890 was sustained. On a bi-annual basis covering 2014/16, therefore, a very satisfactory surplus of £1007 was booked.

During that year, a recruitment drive to attract more members to the Association was held at a net cost of £531. However, the income to the Association from subscriptions increased by £148 from the previous year and hopefully will be repeated in next year’s renewals.

The bank balance of £19716 is regarded as satisfactory when taken together with £920 of deposits pre-paid to clubs where we shall play matches and competitions next year.

In 2016, the tour ended with a surplus of £130, and this is to be carried forward to the 2017 tour.

I commend these accounts to you.

In the absence of the Treasurer the Captain asked if there were any questions.

There were no questions and approval of the accounts was proposed by Phil Price and seconded by Mike Morris and carried unanimously.

6. ELECTION OF OFFICERS & COMMITTEE 2017

CAPTAIN

The Captain introduced the Captain Elect Rob Southerden from Burnham Beeches GC. Proposed by Brian Rodgers and seconded by Peter Short.

Approval for the appointment was sought from the membership present and carried unanimously.  The chain of office was duly handed over to Brian.

The new Captain thanked Brian for being a superb ambassador for the Association during the past year, and for his excellent golf. Brian had led from the front and even won the Ladies Competition as Doug did last year. Rob was looking forward to the year ahead and the support and friendship that our members give the Captain.

He then presented the Past Captains Badge to the outgoing Captain and on behalf of all the members Brian was thanked sincerely.

VICE CAPTAIN

The nomination is Gerry Cotter proposed by Rob Southerden and seconded Brian Rodgers

The Captain asked for approval. Carried unanimously.

HON SECRETARY

The nomination is Peter Short, proposed by Derek Williams and seconded by Doug Ebdon

The Captain asked for approval. Carried unanimously.

HON MATCH-SECRETARY

Remaining Vacant but applications were invited from the membership and a job specification handed round.

HON TREASURER

The nomination is Doug Ebdon proposed by Derek Williams and seconded by Peter Short.

The Captain asked for approval. Carried unanimously.

COMMITTEE: 2 NOMINATIONS

The Nominations are David Liston and John Mannering. Proposed by Brian Rodgers, seconded by Rob Southerden.

The Captain asked for approval. Carried unanimously.

The Retiring Captain Doug Ebdon remains on the Committee as the Treasurer.

7. ANY OTHER BUSINESS

1. Rob Southerden announced that his tour would be at The Vale Resort on 18 to 21 June plus Radyr, Cardiff and Whitchurch GCs  and he looked forward to members again supporting this. He also asked for a show of hands for a mixed match with wives/partners in 2017 on an appropriate date. There was a positive response and he would investigate further. He looked forward to seeing all members at the Spring Meeting on 28 April at Berkhamsted GC.

2. Peter Short reported that he was aware of 2 potential new members who had been Captains elsewhere and were now members of Buckinghamshire clubs and that it was considered by the Committee that the constitution would need changing for this. David Balfour responded that this had occurred before and was covered by the constitution. The meeting agreed that we should allow for this and the constitution be changed accordingly.

There being no other business the Captain closed the meeting and advised members that the 38th ANNUAL GENERAL MEETING will be held at Harewood Downs Golf Club on Thursday 12 October 2017.
